I’m helping PFLI find a top candidate to join their team full-time for the role of Executive Assistant - To Founder/CEO.

You will optimize operations, managing communications, scheduling, and projects for a founder.

Compensation:
USD 2K/month.
+ Bonuses (up to 11% of base compensation)

Location:
Remote (anywhere).

What makes you a strong candidate:
• You have 10+ years of experience in executive assistance.
• You are expert in administrative assistance, calendar management, and email management.
• You are proficient in project management, Microsoft 365, Google Sheets, and Slack.
• English - Fully fluent.

What This Role Looks Like in Action:
You won’t be “just an assistant.” You’ll be a right-hand operator for a founder who is building rapidly in the financial services space—life insurance, loan brokerage, and client-focused financial strategy.
In this role, you’ll be the calm in the chaos. You’ll organize the noise, control the communications, and make sure nothing falls through the cracks—so the founder can scale impact and deepen client relationships. Your fingerprints will be on every milestone as we grow, and your work will make everything better—for clients, for our team, and for your own professional journey.

In the first 90 days, you will conquer the following:

30-Day Goals:

• Conduct 1:1 onboarding meetings with the founder and key internal contacts to map out communication workflows and scheduling standards.
• Audit the current email, calendar, and project management systems; deliver a prioritized roadmap for operational improvements.
• Begin full ownership of inbox management, reducing executive email volume by at least 40% through triage, drafting, and automation.

By Day 60:

• Fully own executive calendar two weeks out, proactively scheduling and resolving conflicts without escalation.
• Track 100% of active client cases and internal workflows in Monday.com with clear visibility and updated status.
• Initiate and execute travel arrangements and review packet coordination for upcoming client meetings.

By Day 90:

• Become the go-to leader for internal accountability—ensuring no deliverable, signature, or follow-up slips.
• Implement at least 2 process improvements that boost efficiency in document management or team communications.
• Deliver a Q1 operational performance report with measurable impact metrics on scheduling, inbox, and workflow efficiency.

Soft Skills:
You are intuitive and calm under pressure—an anchor in fast-moving waters. You can sense what’s urgent, what’s noise, and what needs the founder’s attention without being told. You’re polished, precise, and trust-building. You bring warmth without fluff, directness without edge, and a sharpness that helps the whole team level up.

Technical Skills:
You move fluidly across tools like Gmail, Google Calendar, Docs, and Sheets. You thrive in platforms like Slack, Monday.com, and LinkedIn. You’re fast with Docusign, resourceful with WhatsApp, and unafraid to create a system where none exists. If it’s digital, you can organize it—and you learn new tech like it’s second nature.

Must Haves:
You’re available full-time during Pacific Time business hours. You’re self-managing, proactive, and know how to “manage up.” You have prior experience supporting entrepreneurs or founders—and you know what it means to hold trust, juggle chaos, and bring clarity. This role is remote, but your presence will be anything but distant.
